Terms & Conditions

Welcome to Highland Realms Comic Con (“the Event”).

 

By purchasing a ticket, registering as a vendor, attending the event, or using our website, you agree to the following Terms & Conditions. Please read them carefully.

These Terms & Conditions form a contract between you (“you”, “attendee”, “vendor”, “participant”) and Highland Realms Comic Con (“we”, “us”, “our”).

If you do not agree with these terms, you should not attend the event or use our services.

Tickets & registration

Ticket Purchase
  • All attendees aged 16 or over may register or purchase tickets.

  • Tickets must be purchased through our official website or authorised sellers.

  • You are responsible for ensuring your registration details are accurate.

Ticket Use
  • Tickets are valid only for the date(s) specified.

  • Tickets may not be duplicated, resold at a higher price, or transferred without permission.

  • Lost or stolen tickets may not be replaced.

Refunds & Cancellations
  • Unless required by law, tickets are non-refundable.

  • Refunds may be offered if the event is cancelled entirely by us.

  • No refunds are issued due to attendee illness, travel issues, or personal circumstances.

Event Changes

We reserve the right to:

  • Change event dates

  • Adjust programming, schedules, guests, or venue layout

  • Limit or restrict capacity

These changes do not entitle attendees to a refund unless the event is cancelled.

Vendor Applications

Eligibility

Vendors must apply through our official form on Wix and provide:

  • Business name

  • Contact name

  • Address

  • Email

  • Phone number

Acceptance
  • Vendor spaces are limited and not guaranteed.

  • We reserve the right to approve or decline applications.

Vendor Fees
  • Fees must be paid in full by the deadline to secure your space.

  • Vendor fees are non-refundable, unless the event is cancelled by us.

Stall Rules

Vendors agree to:

  • Keep their area clean and safe

  • Follow all venue and fire safety rules

  • Sell only approved items

    • No items made with AI will be permitted​

  • Operate only during designated hours

We may remove vendors who violate rules without refund.

Behaviour & Code of Conduct

We aim to provide a safe, inclusive environment.
This policy applies to all attendees, vendors, staff, and volunteers.

 
Expected Behaviour

Participants must:

  • Treat others with respect

  • Follow staff instructions

  • Follow venue safety rules

  • Wear badges/wristbands visibly at all times

Prohibited Behaviour

Includes but is not limited to:

  • Harassment, discrimination, or bullying

  • Violence or threats

  • Theft or vandalism

  • Excessive alcohol or drug use

  • Selling prohibited items

  • Disruptive behaviour

Consequences

We reserve the right to:

  • Remove individuals from the event

  • Ban individuals from future events

  • Involve law enforcement if necessary

  • No refunds will be issued for removal due to misconduct.

Costumes & Weapons Policy

Costumes

Cosplay is welcome, but must:

  • Allow safe movement

  • Not contain hazardous materials

  • Not block walkways

Props & Weapons

All prop weapons must:

  • Be clearly identifiable as props

  • Contain no functioning mechanisms

  • Pass a safety check at entry (if implemented)

We may confiscate unsafe items or require them to be removed.

Photography & Media

Event Photography

By attending, you acknowledge that:

  • Event photographers/videographers may take photos and video

  • You may appear in promotional material (non-commercial use)

If you do not wish to be photographed, notify staff at registration.

Personal Photography

It is requested that you ask permission before photographing other attendees or items at stalls. 

Attendees may take personal photos unless:

  • The subject declines

  • A vendor requests no photos at their stall

  • It violates copyright or privacy

Accessibility

We strive to make the event inclusive and accessible.
Attendees with accessibility needs should contact us before the event so we can assist where possible.

Liability & Disclaimers

Personal Property

We are not responsible for:

  • Lost or stolen items

  • Damage to personal belongings

  • Items left unattended

Injury or Accidents

Attending the event is at your own risk.


We are not liable for:

  • Injuries caused by other attendees

  • Accidents resulting from ignoring safety instructions

Nothing in these terms excludes liability where it cannot legally be excluded (e.g., negligence resulting in death).

Vendor Liability

Vendors are fully responsible for:

  • Their goods

  • Customer transactions

  • Insurance for their business

Website Use

Using our website means you agree to:

Accuracy of Information

You are responsible for providing accurate data when registering or contacting us.

Prohibited Website Activities

You may not:

  • Interfere with website security

  • Attempt to access restricted areas

  • Upload malicious software

  • Copy or misuse content

Payments

Payments made via Wix’s integrated payment providers (e.g., Stripe, PayPal) are subject to their terms and conditions.

We do not store or process full card details ourselves.

Privacy & Data Protection

Your personal data is handled according to our Privacy Policy.

This includes:

  • The data we collect

  • How it is used

  • How it is shared

  • Your GDPR rights

Event Cancellation

If we must cancel the event:

  • Attendees may receive a refund of ticket price

  • Vendors may receive a refund of fees

  • We are not responsible for travel, accommodation, or other costs incurred

Changes to These Terms

We may update these Terms & Conditions as needed.
The latest version will always be posted on our website with an updated date.
